Why square footage is the wrong starting point

Restroom count is usually the strongest single cost driver in an office, because restrooms are slow, non-negotiable and the first thing anyone complains about. Headcount comes second, because it determines how quickly restrooms, break rooms and touch points deteriorate.

Build a frequency grid before you collect quotes
This is the part that turns three incomparable numbers into a genuine comparison.
Instead of asking for a price for "three visits a week," write down which tasks happen at which frequency. A workable starting grid for most offices looks like this:
- Every visit: restrooms cleaned and restocked, break room surfaces, trash and recycling, entry glass and handles, entry floors, reception surfaces.
- Two to three times a week: full-floor vacuuming, workstation surfaces, conference rooms, interior glass, stairwells and corridors.
- Weekly: baseboards, door frames, detail dusting of ledges and sills, chair bases and furniture legs, restroom partitions and dispensers detailed.
- Monthly or quarterly: high dusting of vents and light fixtures, interior windows, under and behind movable furniture, blind slats, upholstery vacuuming.
Where the discount structure fits
Businesses needing cleaning several days a week, or daily, may qualify for recurring commercial discounts of up to 35%. That is a ceiling for qualifying schedules rather than a rate every commercial account receives. The figure that applies to a specific facility depends on facility type, square footage, frequency, scope, required tasks, visit count, operating schedule and any custom requirements.
The economics behind it are the same as on the residential side: a facility cleaned daily is faster per visit than one cleaned weekly, and a fixed route is cheaper to run than scattered one-offs.
Who supplies consumables?
Usually the client, because most businesses already have supplier arrangements and preferences for paper, soap and liners. The cleaning company refills dispensers from your stock as part of the visit.
It is worth confirming, because a quote that includes consumables and one that does not are not comparable, and paper is not a trivial line item in a busy building.

- Why do you need to walk the building before quoting?
- Because floor type, restroom count, ceiling height, traffic pattern, entry condition and how the space is actually used all change the labor involved, and none of them appear on a lease. A number produced from a square footage figure and a phone call is a guess.
- Is there a minimum office size?
- No. A three-person suite and a full floor are both quotable. Smaller spaces often work best on a two- or three-day-a-week schedule rather than daily.
- Does the quote include window cleaning?
- Interior glass and partitions usually do. Exterior window cleaning is a separate trade and is not part of standard office scope.
- Can we start weekly and increase later?
- Yes, and many accounts do. The discount applies to whichever frequency you are actually on, so moving up adjusts the rate.
